VeriMails (“VeriMails,” “we,” “us,” or “our”) is a product operated by Cliqte LLC, a Wyoming limited liability company. This Privacy Policy explains what information we collect, how we use it, the legal bases on which we process it, who we share it with, and the choices and rights available to you. By accessing or using the VeriMails website, API, applications, integrations, or related services (collectively, the “Services”), you acknowledge the practices described here.
If you do not agree with this Policy, please do not use the Services.
1. Who we are
The data controller for personal data processed through the Services is Cliqte LLC, operating the VeriMails brand. For any questions about this Policy or your data, contact us at support@verimails.com.
2. Information we collect
We collect the following categories of information:
a. Account information. When you register, we collect your name, email address, password, and, where applicable, billing details processed through our payment processor.
b. Email addresses and data you submit for processing. The core function of the Services is to verify and analyze email addresses. When you submit email addresses, lists, or related contact data (“Submitted Data”) for verification, enrichment, finding, or related processing, we receive and process that data to perform the requested operations and as further described in Section 4.
c. Verification results and derived data. When we process Submitted Data, we generate results and associated metadata, including validity status, deliverability classification, domain and mail-server attributes, role/disposable/catch-all classifications, confidence scores, and similar derived attributes.
d. Usage and technical information. We collect information about how you interact with the Services, including IP address, device and browser information, request logs, timestamps, API usage, and cookies or similar technologies on our website.
e. Communications. If you contact us, we retain the content of your communications and our responses.
3. How we use information
We use information to:
- provide, operate, maintain, and improve the Services;
- perform the verification, enrichment, finding, and analysis functions you request;
- create, maintain, and improve our data products, datasets, and the accuracy and quality of our verification and contact-data systems, including by retaining and incorporating verified results as described in Section 4;
- authenticate users, manage accounts, meter usage, and process payments;
- communicate with you about the Services, including service-related and, subject to your choices, marketing communications;
- monitor, prevent, and address security incidents, abuse, fraud, and technical issues;
- comply with legal obligations and enforce our terms.
4. Retention, verification results, and dataset improvement
This Section describes an important aspect of how the Services work; please read it carefully.
We retain Submitted Data and the verification results derived from it for the duration described in Section 8. Where email addresses are determined to be valid and deliverable, we may retain those addresses together with their associated verification results and derived attributes, and incorporate them into the datasets we maintain to operate, train, validate, and improve our verification systems and our broader contact-data products. This retention and incorporation supports the continued accuracy, freshness, and quality of our Services, including the detection of changes in deliverability over time.
Information processed in this way becomes part of our infrastructure, datasets, and data products, which we may operate, provide, and make available to others as part of our business. We do not identify you or your account as the source of any particular record, and the practices described in Section 9 apply.
You may opt out of the incorporation of your verified results into our broader datasets, and request deletion of data associated with you, as described in Sections 6 and 8, by contacting support@verimails.com.
5. How we share information
We do not sell your account information (such as your name, login credentials, and billing details). Information incorporated into our datasets and data products as described in Section 4 may be shared with or made available to third parties as part of those products and services. We also share information in the following circumstances:
a. Service providers and sub-processors. We use third-party verification, infrastructure, hosting, analytics, and payment providers that process information on our behalf under contractual confidentiality and data-protection obligations. These providers are permitted to use the information only to provide services to us.
b. Legal and protective. We may disclose information where required by law, regulation, legal process, or governmental request, or where necessary to protect the rights, property, safety, or security of VeriMails, our users, or others, or to investigate fraud or abuse.
c. Business transfers. In connection with a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to this Policy.
6. Your choices and rights
Depending on your location, you may have rights regarding your personal data, including the right to access, correct, delete, or port your data, to object to or restrict certain processing, and to withdraw consent.
To exercise any of these rights, including opting out of the dataset incorporation described in Section 4, contact support@verimails.com. We will respond within the timeframes required by applicable law. We may need to verify your identity before acting on a request.
Individuals whose addresses were submitted by a customer. If your email address was submitted to us by one of our customers and you wish to have it removed from our datasets, you may contact support@verimails.com and we will action your request.
7. Legal bases for processing (EEA/UK)
Where the EU or UK General Data Protection Regulation applies, we process personal data on one or more of the following bases: performance of a contract; our legitimate interests in operating, securing, and improving the Services and our data products (balanced against the rights of data subjects); compliance with legal obligations; and, where required, consent.
8. Data retention
We retain account information for as long as your account is active and as needed to provide the Services. We retain Submitted Data, verification results, and derived data for as long as necessary to provide the Services and for the dataset purposes described in Section 4, unless you request earlier deletion. We retain certain information longer where required to comply with legal obligations, resolve disputes, or enforce agreements. Upon a valid deletion request, we will delete or de-identify the associated data, subject to legal retention requirements.
9. Data security
We use commercially reasonable efforts intended to help protect information. However, no method of transmission or storage is fully secure, and we make no representation, warranty, or guarantee that information will be protected against loss, misuse, interception, or unauthorized access. You use the Services and submit data at your own risk.
10. International transfers and hosting
We and our service providers may store and process information in any jurisdiction in which we or they operate, and the location of processing may change over time. Where information is transferred across borders, we seek to apply safeguards consistent with applicable law. We do not commit to processing or storing information in any particular country or region.
11. Cookies
Our website uses cookies and similar technologies for authentication, preferences, security, and analytics. You can control cookies through your browser settings. Disabling certain cookies may affect functionality.
12. Children
The Services are not directed to individuals under 16, and we do not knowingly collect personal data from children. If you believe a child has provided us personal data, contact support@verimails.com.
13. Changes to this Policy
We may update this Policy from time to time. Material changes will be indicated by updating the “Last updated” date and, where appropriate, by additional notice. Your continued use of the Services after changes take effect constitutes acceptance.
